Introduction
💡 You have just completed your training workshop. This step allows you to verify your HR data displayed in Reflect to guarantee the reliability of your HR dashboards.
Purpose of Acceptance Testing
✅ Validate the dimensions used during the integration of fields from the source tool.
✅ Complete data mapping and normalization.
✅ Verify the quality of your data.
✅ Identify any discrepancies or inconsistencies.
A. Quality, Mapping, and Normalization (Duration: 1h)
1. Data Quality
Complete any missing data directly in your source tool. (Reflect will retrieve these updates during the next data synchronisation)
2. Data Mapping
Group dimensions : Consolidate dimensions with a large number of source values (e.g., job titles, departments) to keep dashboards readable.
Clean values : Rename or correct misspelled source values (e.g., "Develloper" vs. "Developer").
Standardize labels : Harmonize labels for dimensions such as contract types or absence reasons.
Standardize critical data to obtain reliable indicators (absenteeism, permanent staff, base salary, etc.).
B. Data Verification (Duration: 2h/3h)
💡 Following the training workshop, please use the Google Doc shared by email to list your feedback.
To move forward efficiently, we recommend the following protocol for each return :
Give a clear and specific title : Precisely describe the anomaly or question.
Provide details: Select period, employee names, Reflect screenshot, and a screenshot from your source software.
Data Verification Protocol
Workforce and key HR indicators (To be verified on your side)
1. Workforce and FTE Control
Compare the headcounts displayed in Reflect with your own internal reports for specific dates (year-end, quarter-end, month-end, etc.).
Check if certain individuals should be permanently excluded from the data (e.g., external contractors, board members).
Compare the number of arrivals and departures (ins and outs).
Check FTEs (Full-Time Equivalent) by department, entity, and globally.
2. Check Employee Information
Check basic employee information: contract type, socio-professional category, job title.
Verify datas is fully completed in your source software.
Ensure that critical fields (start date, end date, contract type) are complete for every employee.
3. Absence Control
Check absence types (sick leave, paid time off, parental leave, etc.) and the durations displayed for a few employees.
Compare the absenteeism rates calculated in Reflect with your own internal indicators.
Salary and Payroll (Guided Verification)
This part is more technical. We will assist you during a personalized acceptance meeting to :
Read and verify base salaries in Reflect.
Compare variable payroll elements with your pay slips.
Want to move forward independently?
Salary Check
Check the base salary of specific employees.
2. Payroll Control
Check Reflect payroll and compare the pay slips of certain employees.
C. Questions and Adjustments
Preferences and Renaming
Organizational Hierarchy : Check the full structure: Entity > Department > Group 1 > Group 2 > Group 3.
Renaming : Rename organizational dimensions to align them with your internal nomenclature (e.g., specific names of departments or entities).
Preferences : Configure display and filter preferences to better meet the needs of end users.
