Definition of Headcount: end of period vs during the period

Differentiate between the definitions of "Effectifs" and understand the impacts

Written by Virginie Huaranca

Understanding the distinction between the Headcount (end-of-period workforce) and the number of Employees over the period is essential to analyze the evolution of your workforce and ensure the consistency of your indicators.

The major difference lies in the timeframe considered and the nature of the measure.

1. Headcount (end of period)

Headcount is a measure of stock at a given point in time.

Definition : Headcount is the number of people working in a company or in a department at the end of the selected period.

Purpose : Indicate the exact size of the team at the moment the report is generated.

💡 Recommended Use

  • Monitor the company's growth.

  • Calculate Headcount by Manager or by Department at a given date.

  • Calculate the Turnover rate or other ratios based on the final workforce.

2. Employees (over the period)

The number of Employees over the period is a measure of flow.

Definition : The number of employees over the period corresponds to the number of distinct employees who worked at least one day during that period.

Purpose : Measure the total number of distinct people who were active in the company during the selected interval.

💡 Recommended Use

  • Analyze the workforce involved in an event (training, seasonal fixed-term contracts) over the entire period.

  • Estimate the number of people who may have generated workload or cost over the interval.

3. Concrete Example

Let's take a one-month period (January):

Movement during the month

Workforce details

Workforce on January 1

100 employees

Arrivals

5 (employees hired on January 15)

Departures

3 (employees who left on January 20)

Workforce on January 31

100 + 5 - 3 = 102

Measure

Result

Explanation

Headcount (end of period)

102

The number of people physically present on January 31.

Employees (over the period)

100 (start)+ 5 (arrivals) = 105

Includes the 3 people who left but worked part of the month

Ensuring Analytical Consistency

The choice between these two measures is decisive for the accuracy of your analyses.

  • Headcount (end of period) answers the question :

    "How many are we now?"

  • Employees (over the period) answers the question :

"How many people were involved during this period?"

👉 For consistent reporting : always specify in your dashboards and analyses the type of Headcount used.
