Manage access to data source settings

Grant, change or remove viewing and editing permissions for each data source.

Written by Reflect Team

You can let a user prepare your data without giving them the Admin role. Source permissions define who can view or edit the configuration of each data source.

Only an Admin can grant or remove these permissions. Administrators automatically have Editor access to every source; this access cannot be removed from this page.

Source permission

What the user can do

Viewer

View the source, its mapping and its normalization. They cannot upload files or edit mapping or normalization.

Editor

View and edit mapping and normalization for this source, and upload files if the source uses file imports.

Mapping standardizes labels; normalization classifies values into the categories Reflect uses. These changes can affect the company’s analysis results once the data has been processed.

These permissions are separate from the user’s role and analysis scopes. Giving someone Editor access to a source does not change which data they can view in dashboards. To configure that access, see Access Roles and Scopes.

Grant access to a user

Sign in with an Admin account. The person you want to select must already be listed among your Reflect workspace’s users.

  1. Open Users and permissions → Source ownership, or go directly to the Source ownership page.

  2. On the relevant source’s row, click the three dots → Edit access.

  3. In the User field, select their email address. Viewer is selected by default in the window.

  4. If needed, click Viewer beside their address and select Editor.

  5. Click Confirm ownership to save.

In this example, the Admin keeps Editor access. Select another person in User to grant them access.

Repeat for each source you want this person to manage. They can find their authorized sources under Data management → Data sources, and access the Data mapping and Data normalization pages.

Change or remove access

In Source ownership, reopen Edit access for the relevant source. Click the permission shown beside the user, then choose Viewer, Editor or Remove access. Click Confirm ownership to save.

After access is removed, the user can no longer view or edit this source in Data management. It does not delete imported data or the user’s account, or change their analysis permissions. Access to other sources must be managed separately.

If a source or action is missing

  • The source is not listed: ask an Admin to check your permissions for that specific source.

  • You can view but cannot edit: ask them to check that you have Editor access. Viewer access is not enough.

  • You want to upload a file: check that the source uses files. Editor access does not turn an API connection into a file import.

  • You cannot find the person to add: check their presence and email address in Users.

For configuration steps, follow the Data Mapping and Data Normalization guides. See your HR software’s integration guide for its specific steps and permissions.
