Automate HR reporting with the Board & COMEX reporting agent (beta)

Prepare a first report with Prism, refine the instructions, then schedule future runs and your email notification.

Written by Reflect Team

The Board & COMEX reporting agent prepares your HR report using your instructions and the data you can access in Reflect. Start with a test, adjust the result, then schedule future reports.

Before you start: your account needs access to Prism and the Agents beta. If you cannot see Agents in the menu, contact your Reflect representative.

1. Add the reporting agent

  1. In Reflect’s menu, open Agents, then click Add an agent.

  2. In the window that opens, select Reporting (1), then Board & COMEX reporting (2).

Agent library: 1, Reporting category; 2, Board & COMEX reporting.

Your new agent’s configuration page opens. Give it a clear title, such as Monthly HR report — Executive Committee.

2. Describe the report to produce each time

In Prompt → AI context (1), specify:

  • Audience and format: executive committee, board or investors; PDF, number of pages, expected tables and charts.

  • Scope: the whole company, a legal entity or a department, within your access rights.

  • Period and comparisons: last complete month, previous month, same period last year.

  • Metrics and commentary: headcount, FTE, payroll, turnover or absenteeism; key issues to explain.

Reporting instructions in AI context (1) and the Attach files button (2).

Use Attach files (2) to add a report template, a budget or internal instructions. Explain how Prism should use them. Files saved with the agent are included in every run; replace them when they become outdated.

Example to adapt

Prepare a concise monthly HR report in English for the executive committee, covering the last complete calendar month across the whole company. Compare end-of-month headcount, average FTE and gross payroll paid with the previous month. Use only aggregate data. Deliver a two-page PDF with a KPI table, one headcount chart and three short observations. State the periods, data sources and any missing information. Do not invent unavailable figures.

For a recurring report, use a relative period such as “the last complete month”. An instruction fixed on “September 2026” will keep requesting that same month.

Leave Recurrence off for this first test, then click Save. Saving keeps your instructions; it does not start the report.

3. Test and adjust the first report

Click Launch now. If the button is disabled after an edit, click Save first.

Launch now and Save buttons in the agent configuration.

A row appears under Previous runs. Click it to open the Prism conversation as soon as it is available. You can follow the preparation and read the result. For a generated PDF, use Preview to view it, then Download to save it.

Check the scope, dates, figures and missing data before sharing the report. You can request a correction in the conversation, for example: “Add a comparison with the same period last year and shorten the summary to five lines.”

To keep an adjustment for future reports: click the agent’s title at the top of the conversation to return to its configuration. Add the adjustment to the Prompt, then click Save. A request made only in a conversation does not change the agent’s saved instructions.

4. Schedule future reports and the email

Reopen the agent from Agents, or click its title at the top of its conversation.

  1. Turn on Recurrence (1).

  2. Choose the Frequency (2): every day, Monday to Friday, every Monday, or the first Monday of each month or quarter. With Custom…, you can choose weekdays or, for example, the last Wednesday of each month.

  3. Check Next run. Scheduled runs start from 6:00 AM, Paris time; this is the start time, not when you receive the finished report.

  4. If you wish, turn on Email me when a scheduled run is done (3).

  5. Click Save to apply these settings.

Recurrence settings: enable (1), frequency (2), email notification (3) and next run.

Who receives the email? The agent’s owner, at their Reflect account email address. This setting does not provide an executive committee mailing list. It applies to scheduled runs, not manual launches.

On success, the email contains a link to the conversation and the latest versions of the documents produced, within the email size limit. Files that are not attached remain available in the conversation. On failure, the email links back to the agent so you can launch it again; any partial documents are not attached.

5. Track runs and pause the schedule

On the agent page, Previous runs shows the date, status and Manual or Scheduled trigger. Click a row to open its conversation.

Status and trigger of the demonstration runs; the outlined arrow opens the conversation.
  • Pending: the run is registered and processing has not started yet.

  • Running: the agent is preparing its response.

  • Succeeded: the response is complete. Review the report and its limitations before sharing.

  • Failed: open the conversation if it is available, then try Launch now again. If the problem persists, contact support with the agent title and the run date.

To pause future runs: turn off Recurrence, then click Save. You can still use Launch now and turn the schedule back on later.

Currently, Board & COMEX reporting is the only agent with this configuration and scheduling page. Agents marked SOON are not available yet.
