The Annual presence rule indicates the share of months in the fiscal year for which an employee is counted in HR headcount. This value is used to calculate Average monthly workforce.
How is annual presence calculated?
For each month of the fiscal year, Reflect uses the employee’s latest available status and checks whether they are included in HR headcount. The number of months counted is expressed as a share of 12.
For example, in a fiscal year from January to December, an employee who joined on July 1 and remains in headcount on December 31 has an annual presence of 0.50. This value describes a share of the year, not the number of days worked or a full-time equivalent.
How does it affect average monthly workforce?
The measure adds the annual presence values of employees included in headcount at the end of the fiscal year. For the current fiscal year, that date is today.
An employee who left before that date therefore does not contribute to the total, even if they were in headcount at some earlier month ends. The result can differ from an average calculated using every month-end headcount.
For the current fiscal year, open contracts can be projected into the remaining months. Annual presence can therefore include future month ends: it does not represent only situations already observed.
What should I check if the numbers differ?
Check the fiscal year and filters in your analysis, then the employee’s dates and status in the data sent to Reflect. The Active status rule explains their inclusion in HR headcount. For fiscal year dates, see Fiscal or calendar year. If the discrepancy remains, contact your Reflect representative.
