The “FTE change” rule helps you understand the FTE change count (per contract): Reflect counts changes for employees present during the selected period, contract by contract. The first value usable for comparison serves as a reference: it is not counted as a change.
Which values are compared?
To detect a change, Reflect compares the available HR FTE with the last known comparable value. If HR FTE is missing, it uses the available finance FTE, except during the months when the employment period associated with the contract starts and ends, and after it ends. Missing or excluded values do not trigger a change; the next comparable value is compared with the last known one.
This exclusion avoids comparing a finance FTE that may be prorated during the months when that period starts or ends. It does not apply to available HR FTE: this can reveal a change during those months. The rule’s wording in the application may suggest a general exclusion; the calculation works as described here.
Example
An employee’s HR FTE is 1, then changes to 0.8 during their departure month. If both values are available and the employee is in the headcount, the change can be counted over the selected period. If HR FTE is missing and only finance FTE is available during the departure month, that finance value is excluded from the comparison.
What should you check if the figure looks wrong?
Check the selected period, whether the employee is in the headcount, and the HR and finance FTE values provided to Reflect, especially around their arrival and departure. Contact your Reflect team if needed.
The comparison above is separate from the estimate of displayed HR FTE when data is missing. To understand that estimate, see Understanding default FTE.
